David wrote in with some examples of what they’re seeing in the management of their servers: "I work for a State government agency. In 2008 we evaluated the Microsoft Access (.mdb) databases for one of our divisions. We only looked at Access databases that are stored on shared drives that are automatically backed up, not the ones on desktop C: drives. We wanted to get a feel for the duplicated effort, data in reports that is different from data in other reports, areas where the IT department could help reduce effort and increase accuracy, and areas where sensitive or legally restricted data was left open to staff who had no need for the data.

We found 4,717 Access databases with a combined total size of over 86 Gigabytes.
Number of files that do not need review: 510
Number of files that appear to be surveys or questionnaires of some type: 194
Number of files that appear to be lists of some type, including mailing lists, labels, contact lists, addresses, phones, etc.: 233
Number of files in the control directories that need review; these files have been assigned ownership based on some part of the file name or path: 1392
Number of files in the division home directories that need review: 2092
Number of files in the common directories that need review: 17
Number of files that are owned by people who no longer work here; these files have been assigned ownership based on some part of the file name or path: 71
Number of files that cannot be assigned ownership: 208

Total number of files: 4717
Total number of files that need review: 4207


Using this as a basis, it seems certain that all of the data pulled into MS Office products will (1) allow workers to get things done without waiting on IT to do it or paying for IT to assist and will (2) cause problems as data is incorrectly merged, wrongly understood and where people can change the data in their MS Office product with no way for others to know whether or not it agrees with the source. In other words, this development brings both opportunity and danger.
